Dinner/Dancing Location: Lakewood Country Club...
Patsy Flood England called 30 locations. Only three had openings for this weekend. The Arvada Center and The El Jabiel Shriners were both less but didn't include anything but the room. To add food and catering charges would have made both more than the Lakewood Country Club. No deposit is needed.
All agreed on the American Food Buffet with beef, fish and chicken. The cost for this is $36.95 each. We agreed to pay $50 more to have a "chef" carve the beef. The charge for two bartenders is $150 for the cash bar all night. Beverages are as follows:
"Well" drinks $3.75
Cocktails $4.25
Fancy drinks $4.75
Wine $4.50
Domestic beer $3.75
Imported Beer $4.25
Iced tea and coffee are included in the buffet price. All other drinks will be cash bar only.
Entertainment: About $400 plus $150 for the disc jockey.
Lloyd Volgamore will work on a PowerPoint presentation containing a continuously running show of memories to be viewed at the reunion dinner. It was agreed that everyone on the committee should bring pictures or scan them and e-mail to Lloyd so he can put together the program. Music still needs to be decided to play while show goes on.
Format Established: Cocktails (6:00-7:30 PM), 7:30 PM buffet, entertainment, dancing on Saturday night until 1:00 AM. Some say the help will outlast us that evening!!!
Picnic Site Established: Bear Creek Park from 12 AM to 5 PM on Sunday. The park opens at 11:00 for the committee to "set up". We agreed to pay the extra money for volleyball, horseshoes, and other games. In addition, we will pay the liquor permit charge. We will provide pop. No more than 6% beer or wine allowed. No hard liquor.
Everyone will need to pay at the gate a $3.00 parking fee per vehcle. All local graduates will be asked to bring a side dish or dessert to share to help defray costs. Burgers, hot dogs, chips and pop will be purchased and provided.
Total costs for the Weekend will be as follows:
$65 a person for everything (dinner, picnic (not counting the $3.00/vehicle parking fee), and memory book)
$60 a person for the dinner/dance only
$7.50 for the picnic only plus the $3.00 fee when parking the car
$10 for the memory book alone
Carol has written up a very nice Questionnaire and letter (blue and gold...) to be mailed out by next weekend (March 24/25) asking for all information and money in by 5/15/01. Patsy England has offered to let us use her Credit Card service and Carol will add something to that effect on the letter. Those wishing to use the service will be charged the extra handling % charge and need to add the card type, the number, expiration date and name as it appears on the card. We hope this will get more money in faster and more people to the reunion.
Terry Granger offered to be the first business to help with either a gift to be used as a prize at the dinner or cash to defray some of the costs. He has offered to pay for the postage for the letters inviting all to the reunion. Thanks a bunch Terry. What a trooper!
Bob Mascarello and Terry Granger will work together to find more people to donate for prizes. Ideas were tossed around about business cards put on the Web site on a separate page for advertising as a reward to those businesses that do offer a prize for the reunion.
Karen McManus Brown has opened a checking account in the name of "Karen Brown/W.R. Reunion" with $25. We need money. Anyone on the committee who can may pay for his or her way now so we have a bit of cash to work with. Make checks out to "Karen Brown/W.R. Reunion."
Dick Speer worked hard the last 2 weeks going through all annuals from '57 through '61. He found a total of 490 people who had been in our class at one time or another in the four years of high school. The committee discussed if we should try and find all and invite all or not. It was agreed that the list would be put on the Web site as Friends of the Class of '61. We will concentrate on those who graduated. Any "Friends" who are discovered "other ways" will be sent letters, but an all-out attempt to locate the increased size (by 2) will not be made.
http://www.switchboard.com was suggested as another source for finding people.
Joyce and Marilyn Bratton Kaes will work on the Memory book once the information begins flowing into Karen McManus Brown with money. It was decided to print between 100 and 150 books.
Bob Averill has offered to take pictures as well as videos. Sharon Albee Dumont will call Bob and accept his kind offer.
Jim Butler suggested that everyone on the committee think about a really fun, different thing to do at the reunion to make this one a reunion to remember like no others before. Plus don't forget Each committee member will write a paragraph describing their "job function" to help future reunions. Don't forget to do this.
The next meeting will be at Jim and Judy Butler's again at 7:00 PM on Sunday, April 22, 2001. A great big thank you for your hospitality and the fantastic cookies and brownies, Judy!!!!!
Committees:
Music and Entertainment: Dick Speer, Terry Granger (Charlene Bernstein Wilderman will be one of the MCs)
Treasurer: Karen McManus Brown
Establishing a database with everyone's known location found for this reunion was discussed to help out for the future reunions. A suggestion to add a contact other than the graduate was made. This will be looked into and discussed further as we progress.
